Stop Starting Over Every Time You Use Gemini

If you've been using Google Gemini for a while, you've probably noticed something frustrating. Every new chat feels like a fresh start. You have to explain your project again. You need to paste the same information again. You might even repeat the same instructions over and over.

That takes time.

Thankfully, there is a much better way.

By combining Gemini with NotebookLM, you can organize your work into notebooks that remember your conversations, use your trusted sources, and follow your custom instructions. It creates a much smarter AI system that saves time and gives you more consistent answers.

This has completely changed the way I use AI for both my business and personal projects.

Why I Use Notebooks Instead of Regular Chats

Think about all the different projects you're working on.

Maybe you're:

  • Creating marketing content
  • Researching customers
  • Planning a vacation
  • Writing emails
  • Building training materials
  • Managing your business

Each project needs different information.

Instead of mixing everything into one long conversation, I create a separate notebook for each project.

Every notebook becomes its own workspace.

Inside it, I can keep:

  • Previous conversations
  • Trusted documents
  • Website links
  • Images
  • Custom instructions

Everything stays together in one place.

That means I don't waste time explaining the same project every time I open Gemini.

Creating Your First Notebook

Getting started is surprisingly simple.

Open Gemini and expand the sidebar on the left.

Near the bottom you'll find the Notebooks section.

Choose Add New Notebook.

Now give your notebook a name that clearly describes your project.

For this example, I created one called Customer Research.

A clear name makes it much easier to find later, especially if you create lots of notebooks.

Once it's created, you'll see it listed in the sidebar with its own icon.

You can even change that icon.

Simply open the notebook menu, choose Rename, and select a new emoji that matches your project.

It seems like a small detail, but it helps you quickly recognize notebooks at a glance.

Think of Notebooks as Projects

One of the biggest mindset shifts is thinking of notebooks as projects.

Every project deserves its own space.

For example, you might create notebooks for:

  • Marketing ideas
  • Sales copy
  • Customer personas
  • Team documentation
  • Product research
  • Website content
  • Vacation planning

Keeping everything together makes it much easier to return weeks or months later without losing context.

Instead of searching through dozens of old chats, everything is already organized.

The Three Areas That Make Notebooks Powerful

Every notebook has three important parts.

The first is your notebook settings.

This is where you tell Gemini exactly how you want it to behave.

The second is your collection of sources.

These give Gemini trusted information to reference instead of relying only on general knowledge.

The third is your saved chats.

Every conversation becomes part of the notebook, helping Gemini understand the history of your project.

Together, these three features create a much more powerful workflow.

Instead of acting like a brand-new assistant every time, Gemini begins working like someone who already understands your project.

Set Custom Instructions Once

One of my favorite features is notebook instructions.

These let you define exactly what you're trying to accomplish.

You can include things like:

  • Your overall goal
  • Preferred writing style
  • Tone of voice
  • Formatting preferences
  • Important dates
  • Specific numbers
  • Project objectives

The more helpful your instructions are, the better Gemini performs.

Here's something I like to do.

Instead of writing all of those instructions myself, I ask Gemini to help.

For example, I might say:

"Help me create notebook instructions for researching my ideal customer."

Gemini creates a detailed draft.

Then I review it, make a few changes, and save it inside the notebook.

Now every future conversation automatically follows those instructions.

I don't need to repeat them again.

That's a huge time saver.

As I often remind people:

"You deserve to work without feeling overwhelmed."

Setting notebook instructions is one of the easiest ways to reduce repetitive work.

Let Gemini Remember Your Previous Conversations

Another feature that makes notebooks so useful is notebook memory.

By default, Gemini remembers the conversations inside that notebook.

This means every new chat can build on what you've already discussed.

Instead of starting from zero, Gemini already understands your previous questions, ideas, and decisions.

That leads to better answers and a much smoother workflow.

Even better, you can move existing conversations into a notebook after they've already been created.

If you've had useful chats elsewhere in Gemini, simply add them to your notebook.

Now they're part of the same project and available for future reference.

This is one of the easiest ways to organize months of AI conversations without having to start over.

Add Trusted Sources for Better AI Answers

One of the biggest advantages of using notebooks is the ability to add your own sources.

Instead of asking Gemini to search broadly across the internet, you can give it information you already trust.

This helps produce answers that are more accurate and much more relevant to your project.

You can add up to 50 different sources to each notebook.

That gives you plenty of room for almost any business project.

Some of the sources you can include are:

  • Websites
  • PDF documents
  • Word documents
  • Google Docs
  • Google Drive files
  • Images
  • YouTube videos

This flexibility makes notebooks incredibly useful for research and content creation.

Use Your Website as a Source

One of the first sources I usually add is my own website.

Why?

Because it already explains my business, products, services, and audience.

Instead of rewriting all of that information in every conversation, I simply let Gemini reference my website directly.

For example, if I'm creating marketing content, Gemini already understands:

  • What my business offers
  • Who I help
  • My writing style
  • My products and services
  • My overall message

That makes every response much more consistent.

If you have a landing page, pricing page, or About page, those can also become valuable sources.

Add YouTube Videos Too

Many people don't realize that YouTube videos can also become notebook sources.

This is especially helpful if you've created educational videos or product demonstrations.

Once the video is added, Gemini can reference the information inside it while answering your questions.

Imagine asking questions like:

  • Create a blog from this video.
  • Summarize my presentation.
  • Find the key lessons.
  • Create social media posts.
  • Write an email newsletter.
  • Suggest follow-up video ideas.

Instead of manually reviewing your own content, Gemini can help you work with it much faster.

For content creators, this is a huge productivity boost.

Keep Improving Your Notebook

Your notebook isn't something you build once and forget.

It's a living workspace.

As your project grows, you can continue adding:

  • Fresh research
  • Additional conversations

  • Images
  • Training materials

Every new source makes the notebook even more useful.

Over time, it becomes an organized knowledge base for your project.

That's much better than keeping dozens of files scattered across different folders.

Reuse Your Work Instead of Repeating It

You've already told Gemini:

Normally, every new chat would require repeating those details.

With notebooks, you don't have to.

You can simply ask:

Gemini already knows the destination.

It already knows the travel dates.

It already understands the context.

You don't have to explain your customer, product, goals, or workflow every single time.

Instead of storing all that information in separate locations, you can place it inside one notebook.

Now Gemini can analyze everything together.
