Stop Using So Many Apps!
If your team is constantly jumping between messaging apps, shared folders, task managers, calendars, and documents, you're not alone. I see this problem all the time. Most businesses have collected so many different tools that it's hard to know where anything lives.
Every extra app creates another place to check. Another notification to read. Another login to remember.
That slows everyone down.
Instead of helping your team stay organized, too many apps often create confusion.
That's why I want to show you one of my favorite tools inside Google Workspace: Google Chat Spaces.
If your business already uses Google Workspace, there's a good chance you're overlooking one of its most powerful features.
What Is Google Chat Spaces?
Many people think Google Chat is simply another messaging app.
If you're only sending direct messages to coworkers, you're only seeing a small part of what it can do.
The real magic happens inside Spaces.
A Space acts like a home for your team or a project.
Instead of spreading your work across several apps, everything can stay together in one place.
Inside a Space, you can:
- Chat with teammates
- Share documents
- Access important files
- Assign tasks
- Track progress
- Schedule messages
Everything stays connected.
That means less searching and more getting work done.
One Space Can Be Enough
Some teams create dozens of Spaces.
There's nothing wrong with that.
But I've found many businesses can accomplish almost everything they need with just one well-organized team Space.
Think of it as your team's headquarters.
Everyone knows where conversations happen.
Everyone knows where files are stored.
Everyone knows where tasks live.
Instead of asking, "Where did someone put that file?" your team already knows where to look.
That saves everyone time.
Keep Your Files Right Beside Your Conversations
One of my favorite features is how files live alongside your discussions.
Imagine someone shares a spreadsheet during a conversation.
Weeks later you need that document again.
Instead of opening Google Drive...
Searching through folders...
Or asking someone to resend it...
You simply open the Files tab inside your Space.
Everything that's been shared is waiting there.
No guessing.
No searching.
No wasted time.
Open Documents Without Leaving Chat
Here's an even better tip.
When viewing a shared file, choose View in conversation.
From there, select Open in Chat.
Now the document opens directly beside your conversation.
You can:
- Edit a spreadsheet
- Update a document
- Review information
- Continue chatting with teammates
All without opening another browser tab.
It feels like you're working inside one connected workspace instead of bouncing between different tools.
That small change can make a surprisingly big difference throughout the day.
Collaborate Without Losing Context
Every team has conversations about documents.
Usually it sounds something like this:
"Can someone update the spreadsheet?"
"I just made changes."
"Did everyone see the latest version?"
With Google Chat Spaces, those conversations happen beside the document itself.
That means everyone has the same context.
You don't need long email threads.
You don't need separate chat windows.
Everything stays together.
That makes teamwork much easier.
Assign Team Tasks
Communication is only one part of staying organized.
Eventually someone needs to do the work.
That's where the built-in Tasks feature becomes incredibly useful.
Inside your Space you can create tasks for yourself or assign them to teammates.
Everyone sees the same list.
That creates transparency.
Instead of private to-do lists, your team has one shared source of truth.
You always know:
- What needs attention
- Who owns each task
- What's already finished
- What's coming next
That keeps projects moving forward.
Everyone Sees Progress
Shared task lists help eliminate confusion.
You no longer need to ask questions like:
- Has this been completed?
- Who's responsible?
- Is anyone working on this?
The answers are already visible.
Completed tasks stay available for reference, creating a simple history of your team's work.
That makes project management much easier.
Tasks Automatically Connect With Google Calendar
This is one feature many people don't realize exists.
When a task is assigned with a due date, it automatically appears in the assigned person's Google Calendar.
That's huge.
Instead of maintaining two different systems, your tasks and schedule stay connected.
If the due date changes, your calendar updates automatically.
There's no need to enter information twice.
Automation like this saves time while reducing mistakes.
Schedule Messages Ahead of Time
Another feature I really enjoy is message scheduling.
Sometimes you think of something important today, but today isn't the right time to send it.
Maybe you have:
- A meeting reminder
- A deadline notice
- An announcement
- A follow-up message
Rather than hoping you'll remember later, write the message now.
Then schedule it to send exactly when your team needs it.
It's one less thing to keep in your head.
Those little improvements reduce stress over time.
Why Fewer Apps Matter
Many businesses think adding another app will solve their problems.
Usually it creates new ones.
More apps often mean:
- More notifications
- More passwords
- More duplicate information
- More training
- More confusion
Instead, look for ways to simplify.
If your existing tools already solve the problem, use them.
Google Chat Spaces is a great example.
Many businesses already pay for Google Workspace.
Yet they continue paying for separate chat software, task management software, file sharing software, and communication platforms.
Often they don't need to.
Build One Simple System
Organization isn't about having more tools.
It's about creating one system that people actually use.
That's why I encourage teams to reduce unnecessary complexity.
When conversations, documents, tasks, and calendars all work together, people spend less time searching and more time doing meaningful work.
That creates better habits.
It also makes onboarding new employees much easier.
Instead of teaching five different systems, you're teaching one connected workspace.
Small Changes Create Big Results
You don't have to change everything overnight.
Start small.
Create one Space.
Invite your team.
Share a few documents.
Add several tasks.
Use scheduled messages for your next meeting reminder.
As your team becomes comfortable, you'll naturally discover more ways to use the platform.
Those small improvements add up.
Over time you'll spend less energy managing tools and more energy serving customers and growing your business.

The biggest productivity gains rarely come from adding another app.
They come from reducing friction.
Google Chat Spaces helps bring conversations, documents, tasks, and scheduling together in one place so your team can spend less time switching between tools and more time getting meaningful work done.
If you're already using Google Workspace, I highly recommend giving Spaces a serious look. You may discover that the productivity system you've been searching for has been there all along.
